The future companies are 3-4 person teams that utilize AI in order to operate. Some of the fastest rising brands are small teams who are optimized for productivity thanks to AI, and I’m very interested in how I can as well. I’ve always loved trying things out that can streamline anything for my business and the most obvious adaptation for small businesses with no employees is to use AI. So far I’ve been able to use Chat GPT to help organize, strategize, and optimize my workflow so that I can keep my company small. Here are my top 3 ways I’m using AI to run Putyouon Music Group:
1. AI Note taker Device
I’ve been using this device called Plaud.ai. It’s essentially a recorder powered by Chat GPT that sticks to the back of your phone (optional) and records/transcribes meetings and chats. This has been amazing for calls with partners, teams, and collaborators. What I like about this is I can engage in calls “note free” and just flow, knowing that I will have better notes and breakdowns from the device. This week it transcribed and broke down a call with UTA about a music club party with one of their artists, a call with the owner of a coffee shop about a new event series we’re launching (as mentioned in my last post), and a call with a manager of an artists I’m trying to sign who I’m really excited about.
A new trick I’ve started to do is to import the transcripts and Summary into the chat, tell it to gather all the actionable tasks I need to do, and organize them so I can add them to my calendar. This way I don’t forget anything on my to do list, and I’m able to fill my calendar with important things to keep the artists moving.

2. Chat GPT “Label Assistant”
This one is great because it’s free. I’ve started training Chat GPT on my daily work of running the label. My "label assistant," has been able to streamlining everything from A&R tasks to content creation and sample clearance management. Every task I need, I always go to my “Label Assistant” tab because I need it to reference the past information I’ve trained it on. I need this to be rich in data, and so I keep this chat pinned on the left side. Here is what it looks like (along with other examples of what I’m doing to utilize GPT):
I’ve been using Chat GPT to track progress, draft emails, and provide real-time updates, I’ve been able to stay on top of multiple projects across different artists like Jake Shore, Angrybaby, and the artist I’ve just signed- Cydnee with a C (announcement coming). From organizing studio sessions to planning content strategies and securing sample clearances, I’ve used this platform to keep everything organized and efficient. For anyone looking to optimize their business, leveraging a chat assistant like this can be invaluable—it’s like having a dedicated team member who helps you manage, document, and execute tasks. Tracked the complex sample clearance process for Jake Shore's tracks, coordinating with multiple publishers and record labels.
Organized entire content boards for Cydnee's project when pitching her team.
Went viral with a strategic series of posts for Angrybaby's "I Found Love."
Managed feature lock negotiations for Cydnee, including connecting with artist teams with big artists, to streamline the copywriting and keep track of progress.
I’m able to streamline this and add notes and updates into Notion as well, where I have multiple “work boards” for the events we’re producing and artists we’re connected with.
What else do I plan on using it for?
I have many ideas and plans on how to continue to optimize my work flow with AI, but one I’m excite for is Content Calendar Automation: I’m planning to use the label assistant to automate and optimize my own content calendar around new label releases. By integrating it with our release schedule, the assistant can help me map out content ideas and timelines for each artist. It would suggest specific content types—like teasers, behind-the-scenes clips, or artist interviews—to post in the weeks leading up to and after a release.
